Incluso LTD trading as Hire Forge AI ("we", "our", or "us") is committed to protecting your privacy. For the purposes of UK GDPR and applicable data protection laws, Incluso LTD trading as Hire Forge AI is the data controller for personal data processed through this platform. This Privacy Policy explains how we collect, use, and protect your information when you use our platform.

2. What Information We Collect

We collect the following types of information:

a. Account Data (via Google Sign-In)

• Full name
• Email address
• Google account ID

b. User Content

• CV/resume files uploaded for analysis
• Analysis results generated from those files

c. Cookies and Browser Storage

We use the following technologies to enhance your experience:

Firebase Authentication Cookies

Set automatically by Firebase to manage your login session

These are essential and cannot be disabled without losing access

Consent Preference Cookie

hf_tracking_consent records whether you accepted or rejected optional analytics and marketing technologies, and whether you objected to anonymous service statistics. It lasts for up to 180 days and is shared across Hire Forge AI subdomains so your choice follows you into the app.

Optional Analytics

With your permission, Google Analytics measures page visits, traffic sources and interactions such as calls-to-action and completed signups. We configure these events not to include names, email addresses, CV content or form content.

Vercel Web Analytics provides aggregated, cookieless site-usage statistics and does not use third-party cookies to follow visitors between websites.

Anonymous Service Statistics

We count actions such as use of a Start free button in daily aggregate totals so we can understand whether the service is working and improve it. These requests do not contain a visitor, account, cookie, session or journey identifier. We do not include names, email addresses, IP addresses in our measurement records, user agents, query strings, campaign parameters or full referrers.

These action totals cannot be used to follow you between pages or connect an unconsented website action to a later account. You can object at any time by opening Cookie preferences and switching off Anonymous service statistics. This is separate from rejecting optional Analytics and Marketing cookies.

Optional Marketing Technology

With your permission, Leadsy visitor-identification technology helps us understand which organisations may be interested in Hire Forge AI. Leadsy is not loaded before marketing consent.

3. How We Use Your Information

We use your data to:

• Authenticate your account
• Display and manage your uploaded CVs
• Provide AI-based CV analysis results
• Improve platform performance and usability
• Measure anonymous aggregate CTA and service-milestone action totals

4. Data Sharing

We do not sell or rent your data. We only share data with trusted processors, such as:

• Firebase (authentication, Firestore database)
• OpenAI (CV analysis processing)
• Vercel (hosting and aggregated web analytics)
• Google Analytics (optional website and conversion measurement)
• Leadsy (optional business visitor identification)

We use these providers to operate the service and describe their roles here so you can understand where your data is processed.

5. Cookies and Consent

Essential storage is required for the platform to function and cannot be disabled through our preference tool. Google Analytics and Leadsy are optional and do not load until you grant the relevant permission.

You can accept all optional cookies, reject optional cookies, choose Analytics and Marketing separately, and independently object to anonymous service statistics. Use the Cookie preferences control on any page to change your choice. A statistics objection applies immediately; withdrawing permission for an already loaded optional tag removes it on the next page load.

6. Data Retention

• Account data is retained as long as your account is active.
• CVs and analysis results saved to your account are retained while the account is active.
• Account data, saved CVs and analysis results are deleted within five business days of account closure.
• CVs and results screened without an account are deleted after 24 hours unless you create an account and move them into it.
• Anonymous daily aggregate counters are retained for up to 25 months and contain no raw visitor-event records.

7. Your Rights

Under the UK GDPR, you have the right to:

• Request access to the data we hold about you
• Request correction or deletion of your personal data
• Withdraw consent where applicable
• Object to anonymous service statistics through Cookie preferences
